Technical requirements for online orientation

To view online orientation, new employees will need access to a computer with the following:

  • Internet connectivity
  • Netscape 4.0 or greater or Internet Explorer 4.0 or greater. Browsers should be Java enabled and have Java scripting enabled.
  • Printing capabilities from the computer being used (for employment policies and forms)
  • Adobe Acrobat Reader (to view and print forms). Download a free copy of Acrobat Reader now by selecting the button below.

What to do when you hire a new employee
Instructions for both benefit-eligible and non benefit-eligible employees.

Benefit-eligible faculty & staff:
1-
 As soon as possible after an acceptance of employment, the new hire should visit the HR home page (www.hr.uga.edu):   Select "Orientation" at bottom right of page.

During online orientation, the employee will need to provide the following:

  • Full name
  • Department name
  • Last four digits of His/her Social Security number
  • Benefit eligibility

The employee should view the online orientation, review all policies, and print all required forms. The employee should view information about benefits options. You may print a flyer to help guide your new employee through the online orientation process.

2-  Within 3 working days of his/her employment date, the new employee should complete and submit all employment forms to his/her supervisor or departmental secretary.

3-  The hiring supervisor should emphasize the benefits information at the end of the online orientation process, which includes benefit plan details and enrollment forms. Please encourage benefit-eligible employees to attend the optional benefits overview sessions, held the first & third Mondays of each month from 9:00-10:30am at the Training & Development Center. 

Benefits overview programs:
• First & third Monday of each month (If the session falls on a scheduled UGA holiday, it will be held the next working day.) No registration is necessary to attend.
• 9:00 - 10:30am
• Location: Training & Development Center

4-  Remind employee of benefits deadlines!
Employee should complete, print, and submit desired benefits enrollment forms to the Employee Benefits Department. Forms must be received by Employee Benefits within 31 days of the new hire's employment date. Faculty and key administrators on contract must also choose between TRS and ORP within the first 60 days of their employment dates. Questions regarding benefits should be directed to Employee Benefits at (706) 542-2222.
Note: An employee wanting the earliest possible insurance coverage must complete and submit enrollment forms to Employee Benefits on or before his/her employment date.

5- Route paperwork appropriately.

6- Get the "New Faculty/Staff Request for Services" form, complete the top portion, then print. Using the completed form, please assist your new employee in obtaining desired services, including:

  • The UGACard with 16-digit ID number
  • A parking permit for an area without a waiting list
  • A University e-mail account
  • Use of the libraries
  • Membership at the Ramsey Center

Non benefit-eligible employees
(including student workers, temporary faculty and staff):
1-

Most problems with the online orientation process occur when people don't follow the instructions during the presentation. Please read and follow instructions carefully.

If you were previously employed by UGA and are returning to work, you may have questions about resubmitting paperwork. Get more information.

During online orientation, you will need to provide the following:

  • Your full name
  • Your department name
  • Last four digits of your Social Security number
  • Whether you are eligible for benefits (health insurance, etc.) or not

If you're not sure about any of the above, ask your supervisor before you enter online orientation.
