Hiring Department Checklist

  If your new employee is benefit eligible, be sure s/he reads carefully the Summary of Benefits at the end of the online orientation presentation. This document includes benefit plan details and enrollment forms. Contact Employee Benefits (706-542-2222) if you have any questions.
 

If benefit-eligible, please encourage your new hire to attend an optional benefits overview session, held the first & third Mondays each month at the Training & Development Center from 9:00-10:30am. No registration is required to attend. Call Benefits if you have questions.

 

Be sure to send the completed I-9 form to Human Resources within 2 days of the new hire's employment date. Pay special attention to the instructions on the I-9 form. Please contact HR (706-542-2222) if you have any questions.

If your new employee is transferring from another UGA department, please obtain the original I-9 and copies of supporting documentation from the previous department. Attach a note indicating the employee is a transfer and send all to Human Resources, preferably via campus mail or hand delivery.

  Answer questions about employment paperwork and the policies covered in the online orientation presentation.
  To help your new employee immediately obtain and ID card, parking permit, and other services, get the New Faculty/Staff Request for Services form (http://www.busfin.uga.edu/forms/new_employee_ltr.pdf). Complete the top portion, print, and assist the new employee in securing the services s/he desires (prior to being reflected in the payroll/personnel database).
  Provide to your new hire necessary information so s/he can complete online orientation, including the department name and whether or not the employee is benefit eligible. You may wish to print a flyer (http://www.hr.uga.edu/ori/orientation_info.pdf) of instructions and give to new hires.
  Introduce new employee to staff. Provide an organizational chart. Tour the work area. Describe the primary purpose of the unit. Help him/her understand how his/her position fits in to your organization.
  Obtain an email account if applicable and discuss appropriate use of email. IMPORTANT: Ask your new employee to register his/her preferred email address (https://db.uga.edu/eaddrchk/register.html) in order to receive official UGA announcements and other UGA correspondence.
  Discuss your departmental emergency sheltering and evacuation plan and other safety concerns specific to your workplace.
  Discuss work attire, lunch and break times, working hours, and inclement weather procedures.
  Discuss pay schedule, overtime and compensatory time, leave procedures.
  Discuss probationary period, performance evaluations, and the job description.
  Encourage the new employee to come to you for information and assistance.
